How we work out cost per km

The idea is simple: everything you spent on a car in a period, divided by the kilometres it drove in that same period. Keep the period the same for costs and the odometer, and spread yearly amounts like insurance across the months instead of counting them all in the month you paid.

The fleet average is total over total, because a car that drove only 300 km can show a high figure that doesn't represent the fleet.

  1. 1Car total = fuel + service + fixed + other (+ driver) (+ capital)
  2. 2Cost per km (car) = car total ÷ km
  3. 3Fleet average = sum of all car totals ÷ sum of all km (weighted by distance, not the average of the rows)
  4. 4Monthly total = sum of all car totals ÷ months in the period
  5. 5Above average % = (car cost per km ÷ fleet average − 1) × 100

Two worked examples

Example: a small company in Saudi Arabia (one month)

Sample numbers, not real prices

CarkmFuelServiceFixedOtherTotalPer km
Pickup 14,000900150200501,3000.33
Pickup 23,000950400200501,6000.53
Sedan2,5004501001501008000.32

Average = 3,700 ÷ 9,500 = SAR 0.39 per km. Pickup 2 is about 37% above average: more fuel and service for fewer kilometres. That's the car to check first.

Example: two cars on ride-hailing in Egypt (one month)

Sample numbers, not real prices

CarkmFuelServiceFixedOtherTotalPer km
Car 1 (petrol)5,0004,5008006003006,2001.24
Car 2 (CNG)5,5002,6009006003004,4000.80

Average = 10,600 ÷ 10,500 ≈ EGP 1.01 per km. In this example the CNG car is about a third cheaper per km. Check the conversion payback in the CNG calculator.

Why does one car cost more than the others?

  • Higher fuel use than its own average: low tyre pressure, a clogged air filter or driving style.

  • Few kilometres with fixed costs: insurance and renewals spread over less distance.

  • Repeat repairs: an old car can cost more in service than it saves.

  • Short trips and traffic: stop-go raises fuel use and brake wear.

  • Unlogged costs: lost receipts hide the real cost of another car.

How to lower your fleet's cost per km

  • Compare each car with its own average, not only with the others
  • Check tyre pressure monthly, when cold
  • Keep oil and filter intervals for hot climates
  • Ask for a receipt photo for every fill-up
  • Put the most efficient cars on the longest routes
  • Renew insurance and registration on time to avoid fines
  • Review the most expensive car every month: repair or replace?
  • Use the same period every month so comparisons are fair

FAQ

FAQ

How do I work out a car's cost per km?

Add up all the car's costs in a period (fuel, service, insurance share, other costs) and divide by the kilometres it drove in that same period.

Should I include driver pay?

For the full running cost, yes. To compare the cars themselves, leave it out: it doesn't depend on the car's condition.

How do I enter insurance I pay once a year?

Divide it by 12 and multiply by the months in the period. A yearly 1,200 for one month = 100.

What's a normal cost per km?

It depends on the country, fuel price, car type and age. What matters most is comparing each car with itself month to month, and with your fleet average.

Do you save my numbers?

No. The calculator runs on your device and sends nothing to a server. A copied link carries the numbers in its ending only.

Does it work for Uber and Careem drivers?

Yes, for anyone with one car or more. For net earnings after fuel, see the ride-hailing drivers page. For ride-hailing drivers
