Fuel consumption sheet with driver comparison

Excel · Google SheetsFull tank to full tankNo sign-up

Log each fill-up with the odometer and litres, and mark whether it was a full tank. The sheet works out L/100 km per car between two full fill-ups, compares each driver's average, and colours any car using more than 20% above its own average.

Comparison

Table 3 is the fair comparison: the same car with different drivers.

How to read the results without being unfair to a driver

  • Compare a car with itself first: its own past average is the best yardstick. The app does this for you (last 3 fill-ups vs the 90 days before).

  • Rule of thumb: 20% above the car's own average is worth a question; 30% is worth an inspection. A practical rule, not an official standard.

  • Compare drivers on the same car (table 3). A loaded pickup won't use what a sedan does on the highway.

  • Before asking the driver, check tyre pressure, the air filter, the A/C, load and route type (city or highway).

Why full tank to full tank?

Because the fuel gauge isn't precise, and the amount paid changes with the price. The litres that fill the tank again are what the car actually used over the distance since the last full fill-up. If the driver adds half a tank in between, those litres are added to the next full fill-up; column H does exactly that.

When to move from the sheet to the app

The sheet works if odometer readings reach you correct and on time. In Sayarti+ Business the driver logs the fill-up from their phone when paying, with a receipt photo; their name is saved with it, and a “car using more than its average” alert shows on your fleet dashboard without opening any file.

FAQ

FAQ

How do I work out fuel consumption in Excel?

Log the odometer and litres at every full fill-up. Consumption = litres ÷ (odometer now − odometer at the previous full fill-up) × 100, in L/100 km.

What about partial fill-ups?

Log them and choose “No” for full tank. The sheet adds their litres to the next full fill-up.

How much extra fuel means a problem?

Rule of thumb: over 20% above the car's own average is worth a question; over 30% is worth inspecting the car.

Should I compare drivers directly?

It's fairer to compare them on the same car and the same kind of trips, because load and route change consumption a lot.

Does it work for diesel and CNG?

Yes for diesel, in litres. For CNG in Egypt, enter cubic metres instead of litres; the result is m³ per 100 km.

Is the sheet free?

Yes, with no sign-up or email.
